A system of record is not simply the application with the most data.
In a manufacturing operation, different systems may legitimately own different parts of the same process:
• ERP owns released sales and purchase orders
• MES owns actual production progress
• QMS owns quality holds and dispositions
• WMS owns bin-level inventory and movements
• A CRM or portal may own customer-facing communication
Problems start when two systems both appear authoritative—or when nobody has defined who can change a field, how updates propagate, and how conflicts are reconciled.
Before adding dashboards, portals, automation, or AI, document four things for every critical record:
1. The authoritative system
2. The responsible owner
3. The update trigger and expected latency
4. The reconciliation process when records disagree
That work is not glamorous, but it is what turns disconnected software into a dependable operating system.
