We are a busy and growing retail/wholesale Kitchen & Bath company in need of an office manager to assist in various duties involved with running an office for an E-Commerce business. The prime candidate must be well organized, pay attention to detail, and have good communication skills. They must also be flexible to assist other departments as necessary and be able to learn the skills to do so. We prefer at least two years prior experience in relevant office work and prefer at least one year of experience with E-Commerce.
Duties & Responsibilities:
Please note these are only some of the duties required. Other tasks and responsibilities may come up as needed.
Booking and tracking containers and shipments from overseas.
Communicating with overseas manufacturers and vendors through email.
Booking and tracking orders received from various online marketplaces.
Comparing costs for shipping small parcels, freight, and LTL orders between different carriers.
Creating weekly sales reports using Excel or Google Sheets.
Handling customer inquiries and returns through phone and email regarding product information, returns, misships, etc.
Data entry of customer, product, and order information.
General bookkeeping for outstanding bills and invoices.
Provide updates to supervisors, technical teams, warehouse, and others as necessary.
Maintaining a filing system (physical & electronic).
Basic communication of product features and benefits to in-store customers.
Base Requirements:
GED or High School Diploma.
2 years of office management or administration experience.
1 year of relevant E-commerce experience.
Must be able to work in the United States.
Must be able to commute to our office in Canoga Park, CA.
Must be able to communicate in English.
Required Knowledge and Experience:
General computer skills (Mac or PC).
Email management with Gmail or similar programs.
File Management with Google Drive.
Microsoft Office (Excel and Word) or Google Sheets / Docs Experience.
Ability to multitask and prioritize tasks with minimal supervision.
Flexibility to assist any department as necessary.
Preferred but not Required:
Knowledge of ShipStation, FreightPOP, SKUVault, or similar E-commerce fulfillment management platforms.
Knowledge of Quickbooks or similar bookkeeping software.
Familiarity with booking and tracking freight and LTL shipments.
Prior experience processing paperwork for incoming containers from overseas.
Familiarity with Customer Relationship Management systems.
Familiarity with popular online sales platforms (Wayfair, Overstock, eBay, Etsy, Amazon, etc).
Fluency in Chinese or Vietnamese is a plus but not required.
